Privacy policy

How information is handled when you use the OptiTalent website, a recruiting workspace, or a connected AI service.

01

Waiting list

When you join the waiting list, we collect your name, company name and work email. You may also choose to share a LinkedIn profile link and to ask to be considered as a design partner. We use these details to manage early access, understand your interest and contact you about OptiTalent’s launch. This does not create an account or subscribe you to unrelated marketing.

Your submission is sent through Emailit to the OptiTalent team and retained in our email records, and a copy is posted to the team’s private Slack workspace so we can follow up. We also send a confirmation to the submitted email address. To ask us to remove your details, contact privacy@optitalent.cc. We do not publish these details or add them to a public talent profile.

Cloudflare Turnstile helps protect this form from automated abuse. Cloudflare processes verification signals, including your IP address and browser information, for this purpose. We do not use the verification token for marketing or include it in our email records.

02

Scope and responsibility

OptiTalent is recruiting software. The organisation running a recruitment process decides why it collects candidate information, which roles it considers people for, and who may review the records. This policy does not replace that organisation's own privacy notice.

For a hosted workspace, OptiTalent provides the service used to store and process recruiting records. In a local or independently operated deployment, the device owner or deployment operator controls that environment. Using the public website does not itself import a candidate database.

03

Information used by the service

Recruiting records can include names, contact details, CVs, employment and education history, application answers, source records, recruiter notes and recruitment activity. They may be provided by a candidate, entered by an authorised recruiter, or imported from a source the organisation is entitled to use.

Account and support interactions can involve a name, work email, organisation and message. Technical information can be needed to authenticate access, investigate errors and prevent misuse. Avoid sending identity documents, candidate files or AI credentials through a general marketing enquiry.

04

Purposes and recipients

Recruiting information is used to maintain the organisation's records, process applications, find relevant experience, support human review and prepare authorised communications or shortlists. Authorised workspace users and recipients chosen by the recruiting organisation may receive information for those purposes.

Hosting and other service providers may process information needed to run the selected service. A legal obligation or the investigation of abuse may also require disclosure. A private workspace should not be understood as participation in a public candidate pool or permission for unrelated organisations to search its records.

05

Local storage, AI and overseas processing

A local workspace and a cloud AI connection are different things. A networked feature may send the inputs it needs to a provider even when the underlying workspace is on your device. Hosted matching can process selected role and candidate evidence through configured providers.

Provider location, retention and use of inputs depend on the service and account settings. Do not assume that all processing stays in Australia, that a local app is always offline, or that every provider excludes model training. Review the applicable provider disclosures before using personal information. The final operator and provider inventory is still awaiting confirmation for this website release.

06

Retention and deletion

Retention depends on the recruiting purpose, the deployment and applicable obligations. Ending a job campaign, withdrawing an application or letting a shortlist link expire does not necessarily delete the source recruiting record.

Ask the recruiting organisation what retention period applies and whether it intends to consider you for later roles. A deletion request may need to account for legal holds, dispute records and backup handling; this page does not promise immediate erasure from every system.

07

Access, correction and complaints

You can ask the organisation holding your recruiting record for access, correction, deletion or a change to contact preferences, subject to applicable law. Include enough information to identify the relevant role or interaction, but do not send an entire CV or identity document before a secure verification method is agreed.

For information provided directly to OptiTalent, use the verified privacy contact published with the live service. Do not send candidate files through a general enquiry. If a concern remains unresolved, you may have a right to approach the privacy regulator in your jurisdiction, including the OAIC where Australian privacy law applies.

08

This preview and policy changes

A live OptiTalent application form sends the details and documents shown on that form to the named recruiting organisation after you submit. The application page must display the active consent wording, privacy link, accepted file types and file limit before submission.

This edition is dated 8 September 2026. Changes to a live service's practices require an updated policy and, where required, a separate notice. This draft does not replace an existing service agreement or approve a new data-processing activity.
