About the role
About the Company
At Flow, we’re reimagining what it means to live, work, and connect. More than just a real estate company, Flow is a brand, a technology platform, and an operations ecosystem spanning condominiums, hotels, multifamily residences, and office spaces. We’re building a new kind of living experience: one that’s flexible, connected, and designed to create genuine community and real value for the people who call Flow home.
Our mission is oneness: prioritizing our residents and their experiences, and fostering connection with ourselves, their neighbors, and the natural world. By putting people at the center of everything we do, we’re creating vibrant, human-centered communities where life, work, creativity, and play all come together in one place.
About the Role
We are looking for a senior FF&E specialist to own the procurement and production behind Flow’s
furniture program. You will translate approved design direction into furniture that meets our
standards for quality, cost and delivery, working across existing collections, new product
development and retail sourcing for projects that need to move quickly.
Sitting within Development and reporting to the Head of Interior Design, you will work closely with
Interior Design, Architectural Planning and Construction, as well as Procurement, Finance and
Operations.
This is a hands-on senior individual contributor role with ownership from coordinated
specifications and quantities through factory production, shipping, warehouse planning and
installation.
Watch our Head of Interior Design, Alessio Scalabrini, talk about the spaces and experiences we create at Flow—here. This is the work you'd be helping bring to life.
Responsibilities
- Build and maintain the master FF&E schedule. Use Revit to extract and verify quantities, produce bills of quantities (BOQs), and keep specifications, budgets and ordering aligned as layouts change.
- Own procurement planning and budgets across projects.
- Run supplier RFQs, compare quotations, and coordinate purchase orders and payment milestones with Procurement and Finance.
- Track total landed costs and flag risks early.
- Develop manufacturer and supplier relationships.
- Plan production capacity and consolidate orders across properties to manage minimum order quantities, costs and lead times.
- Manage existing furniture collections and help develop new catalogue with Interior Design.
- Track factory milestones, quality inspections and shipping.
- Coordinate warehouse receiving and site deliveries with logistics partners and project teams, keeping production and installation schedules connected.
- Own warehouse inventory planning and visibility.
- Track available, reserved and incoming stock by SKU and location, forecast demand, and plan replenishment, transfers and reuse before placing new orders.
- Build an approved retail catalog for model units, hotel units and urgent furnishing needs.
- Keep dimensions, finishes, pricing, availability, lead times and approved alternatives current so teams can execute quickly.
- Attend relevant design fairs and bring emerging materials and responsible sourcing options to the team.
- Assess provenance, supplier certifications, durability, repairability and environmental impact, and verify performance requirements and warranties before recommending products.
- Coordinate installation and handover, resolve defects with suppliers, and keep product records and specifications accurate.
- Use feedback from sites and Operations to improve future orders and collections.
Ideal Background
- 8–10 years of relevant FF&E experience, including substantial hospitality projects delivered from specification through procurement, production, and installation.
- Hands-on Revit proficiency is mandatory, specifically for FF&E schedules, quantity takeoffs and BOQs.
- Strong skills and confidence in maintaining procurement and inventory tracking systems.
- Proven experience with international furniture manufacturers and a clear understanding of factory processes, shipping and lead times.
- Strong judgment in furniture quality, materials, finishes and construction, with the ability to read shop drawings, review prototypes and protect design intent through production.
- A record of managing budgets, multiple project schedules and warehouse inventory, with clear communication and the initiative to resolve problems before they affect delivery.
- An interior design background is valuable. Experience in furniture design, product development or 3D furniture modeling is a plus.
- A close connection to the furniture and materials industry, curiosity about more sustainable solutions, and confidence working with teams and suppliers across time zones.
