You will adeptly navigate various state department websites and analyze essential documentation. Additionally, you will facilitate smooth transitions for members upon their departure from Collective. Effective communication with both internal departments and external members will be key, as you address inquiries, resolve concerns, and provide clarity on any arising issues. Navigating software applications such as Salesforce, Slack, Google Suite, Collective Internal Platform, Confluence, Zoom, and Adobe is essential for carrying out these responsibilities.

Please note: This is a 12 month seasonal contract.

What you'll do

  • Serve as a resource for questions related to S-corp and LLC formation & maintenance
  • Diagnose and resolve filing rejection notices, name availability conflicts, and administrative holds.
  • Triage and resolve IRS and state-specific procedural issues
  • Assist with updating members’ personal and LLC information, and processing offboarding requests.
  • Collaborate with cross-functional teams to streamline onboarding processes and ensure compliance with legal and regulatory requirements.

What you'll bring

  • 1+ years of experience processing Secretary of State filings, corporate governance/compliance documents, or IRS registrations
  • Knowledge of corporate lifecycle events, including initial formations, foreign qualifications, reinstatements, and dissolutions
  • Familiarity with federal business requirement processes, such as obtaining IRS Employer Identification Numbers (EINs via Form SS-4)
  • Experience navigating varying state online portals and understanding state-by-state filing fees, processing timelines, and statutory requirements
  • Comfortable leveraging AI tools and automation to streamline daily workflows and research complex state filing guidelines efficiently and accurately.
  • Proven ability to diagnose and resolve filing rejection notices, name availability conflicts, or administrative holds directly with state agency clerks.
