About the role

  • Job Title: Pre-Construction Job Coordinator / Estimator (Residential - high end)
  • Type: Full-time position (8 hours per day / 40 hours per week). Pacific Time Zone.
  • Location: 100% Remote.
  • Salary Range: $2,000 to $2,500 USD per month (All-inclusive, based on depth of residential experience).

Company Overview

Our client is a premier, mid-to-high-end residential remodeling and renovation company based in Bend, Oregon. We specialize in top-tier, complex residential transformations—including custom kitchens valued at a quarter-million dollars, luxury bathrooms, and full-house remodels. We pride ourselves on fine craftsmanship, meticulous project management, and delivering exceptional, personalized spaces for our clients.

Position Summary

We are seeking a highly skilled, meticulous Pre-Construction Job Coordinator / Estimator to join our team on a full-time, fully remote basis. In this role, you will be responsible for crunching numbers, reading project details, and developing highly accurate, comprehensive cost estimates for intricate, high-budget residential renovations.

Because high-end remodeling is complex and highly detailed—often taking up to 8 hours or more to accurately estimate a single custom kitchen—this role requires someone with deep residential expertise. Commercial-only estimators will not be a fit for this specialized position.

About the Role

This is not just an estimating role. This is a high-impact position at the front end of every successful project. You will help turn client needs, drawings, site details, budgets, schedules, and trade partner input into clear, organized, executable project plans.

As our Pre-Construction Job Coordinator / Estimator, you will play a critical role in helping projects start strong. You will work closely with leadership, project managers, trade partners, clients, and internal teams to make sure every job is properly scoped, estimated, documented, and prepared before work begins.

If you are detail-oriented, proactive, organized, hungry to grow, and excited by the idea of joining a company with real upward mobility, this could be a career-defining opportunity.

Key Responsibilities

Estimating & Pre-Construction Coordination

  • Detailed Estimating: Prepare detailed construction estimates using Buildertrend and other industry-standard estimating tools.
  • Activity Coordination: Coordinate pre-construction activities including site assessments, material take-offs, subcontractor bidding, and scope clarification.
  • Cross-Functional Collaboration: Collaborate with project managers, architects, engineers, subcontractors, vendors, and internal team members to gather accurate project information.
  • Document Review & Risk Management: Review drawings, contracts, specifications, and bid documents to identify scope gaps, risks, missing information, and value-engineering opportunities.

Operations & Project Setup

  • Scheduling: Assist in building project schedules in Buildertrend to ensure pre-construction milestones are completed on time.
  • Documentation & Records: Maintain clean, accurate, and organized records of bids, proposals, contracts, vendor pricing, and project documentation.
  • Proactive Communication: Communicate clearly and proactively with internal teams on estimate status, open items, risks, deadlines, and next steps.
  • Project Handoff: Support a smooth handoff from pre-construction to production so projects are set up for success before they ever begin.

Experience We’re Looking For

  • Construction Background: Proven experience in construction estimating, project coordination, or pre-construction support.
  • Software Proficiency: Familiarity with Buildertrend or similar construction management software.
  • Document & Scope Mastery: Strong understanding of construction documents, scopes of work, scheduling, contracts, and site coordination.
  • Stakeholder Management: Experience working effectively with project managers, subcontractors, vendors, clients, or field teams.
  • Organizational Skills: Exceptional organizational ability with a track record of managing multiple projects or estimates simultaneously without losing attention to detail.

Who We Are Looking For: Work Style & Attributes

The right person in this role will help create clarity before a project starts. You will reduce surprises, tighten communication, improve project readiness, and help the company deliver a better experience for both clients and team members.

You will thrive in this role if you demonstrate:

  • Ownership Mindset: Takes ownership without needing to be micromanaged.
  • Attention to Detail: Cares deeply about details, accuracy, and follow-through.
  • Clear Communication: Communicates early, clearly, and professionally across all internal and external channels.
  • Multi-Tasking & Prioritization: Manages multiple priorities efficiently without letting critical details fall through the cracks.
  • Proactive Problem Solving: Enjoys solving problems and mitigating risks before they become bigger issues.
  • Growth Orientation: Wants to grow long-term with a company instead of just filling a seat.
