About the role

Zarminali Pediatrics is building the nation's leading pediatric multispecialty group, focused on supporting families to shape healthy futures for their children – from birth through adulthood – by completely transforming the way pediatric care is delivered nationwide. We are tackling today's challenges of increased administrative burden on clinicians and a siloed approach to pediatric care through intentional design of care delivery, enhanced by leading technology and collaborative, expert care teams.

Our name, inspired by our founder's daughter's name – Zarmina – means “something that is more precious to you than gold”. We couldn’t think of anything that better represents the way parents and caregivers hold the relationship with their children as the most valuable gift, and how we at Zarminali approach care for each child with equal reverence.

We strive for a healthier future for pediatric patients and a happier future for pediatric clinicians nationwide, and we are looking for people to join us in achieving this vision. If you are eager to join a growth stage company and be part of the early team that is shaping the foundation of both the company and the delivery of pediatric care, then this opportunity might be for you!

POSITION OVERVIEW

The Practice Manager leads day-to-day operations for a clinic site. This role is responsible for keeping the clinic running smoothly, supporting the care team, and building the foundation for future growth. The Practice Manager is hands-on and visible on the floor, known by patients and staff alike, and is the primary point of contact for clinicians, front-desk staff, and patients within the site.

WHAT YOU'LL DO

Operational Management & Clinic Execution

  • Run daily operations for the clinic, executing established workflows and keeping the site on track
  • Identify recurring breakdowns in process or workflow and propose fixes
  • Escalate issues that require support beyond the site level

Team Leadership, Coaching & Operations

  • Manage day-to-day staffing needs, schedules, and coverage
  • Support onboarding and training for new team members
  • Provide real-time coaching on the floor
  • Escalate formal performance issues to HR and model organizational culture

Provider Relationship Management

  • Serve as the primary operational contact for clinicians in the clinic
  • Support provider schedules, day-of coordination, and communication

Patient Experience

  • Resolve patient concerns directly and execute experience standards
  • Monitor appointment flow and escalate emerging trends

Communication & Culture

  • Communicate clearly and consistently within the clinic team
  • Escalate issues appropriately and model organizational values

KPI Ownership & Financial Management

  • Monitor core KPIs: throughput, fill rate, no-shows, and attendance
  • Understand basic cost drivers, follow the site budget, and escalate variances

WHAT YOU NEED

  • 3–5+ years running one site end-to-end, including scheduling, staffing, compliance, patient flow, and vendor management
  • Comfort navigating EMR and scheduling systems; familiarity with medical terminology and healthcare processes is required.
  • Prior experience supporting or informally leading a team (e.g., training new hires, coordinating daily schedules, acting as an informal shift lead) strongly preferred.
  • Comfort navigating EMR and scheduling systems; familiarity with medical terminology and healthcare processes is required.
  • Demonstrated ability to build rapport, maintain trust, and communicate with empathy across diverse patients, families, and team members.
  • Experience working with children and young people is highly valued.
  • Strong organizational skills with the ability to prioritize competing needs across a full clinic, not just an individual workload.
  • Clear, confident communicator who can coach peers, give real-time feedback, and hold others accountable to standards — while maintaining a collaborative, team-first tone.
  • Clear, respectful communication — both written and verbal — especially in emotionally sensitive situations.
  • Composed and adaptable under pressure, setting the tone for the team in fast-paced or high-pressure moments.
  • A commitment to continuous improvement, ownership of responsibilities, and a culture of mutual respect.

WHAT WE OFFER

  • Be part of a team-based environment focused on providing high-quality pediatric care within a mission-driven, growth-stage organization.
  • A meaningful next step in your operations career — with hands-on leadership experience, mentorship from your Regional Practice Manager
  • Access to continuous learning, skill development, and career advancement within a supportive and dynamic culture.
  • Competitive compensation package with paid time off, medical/dental/vision benefits, and more.
  • Work in a newly designed and advanced clinic that emphasizes patient comfort and top-notch care in a welcoming and calming environment.

At Zarminali Pediatrics, we are committed to our empowering clinicians and team members to deliver better pediatric care, altogether. This commitment requires building an inclusive culture and a team that represents the diverse communities we serve.

We believe that when people from all backgrounds, experiences, and perspectives come together, we create a stronger team and better care for our patients and their families. We realize the importance of an environment where clinicians and team members feel cared for, supported, and valued. We believe in the basics: treating everyone with kindness, respect, and fairness.

We do not tolerate discrimination or harassment of any kind. This includes, but is not limited to, race, color, sex, gender, age, religion or religious creed, national origin, ancestry, citizenship, marital status, sexual orientation, gender identity, gender expression, genetic information, physical or mental disability, military or veteran status, or any other characteristic protected by law.

We recruit and hire based on skills, talent, and potential, ensuring everyone has a fair chance to succeed. Together, we strive to build an inclusive and welcoming space where we can achieve our goal of building a happier future for the pediatric workforce.
