In a nutshell
Are you an analytical problem-solver who thrives on smart automations, structure, and seamless scheduling? Become Picnic's new Recruitment Operations Coordinator. As an Operations Coordinator, you ensure that our recruitment team of 25 recruiters can perform at their best. You manage the central daily planning for the hiring team, build clever automations in our software (including Fountain and Aircall), and safeguard the quality of the recruitment process. In doing so, you streamline the intake of our Shoppers, who pick orders in the FCs, and our Runners, who handle deliveries from our Hubs. Thanks to your data-driven approach and system administration, the recruitment process runs at lightning speed and peak efficiency.
Tricks of the trade
- Building smart schedules: You are responsible for the central daily planning of our 25 recruiters. You ensure that the right people are always answering calls, conducting interviews, or updating administrative tasks at any given moment.
- Optimising the candidate experience: A sudden spike in incoming calls? You track wait times in real time and quickly bring in extra team members to help, ensuring every applicant is assisted within 30 seconds.
- Owning tools and systems: You are the main point of contact for our software and platforms (such as Fountain, Aircall, and Google Sheets). If an issue arises or a process can be improved, you troubleshoot it and configure the system properly.
- Saving time through smart solutions: You come up with creative ways to cut down manual work, such as self-scheduling tools for applicants or automated chat functions to answer FAQs.
- Tracking data and reporting: You closely follow an applicant's journey from first registration to their first week on the job. With your clear overviews, other supervisors know exactly where the recruitment pipeline stands.
- Managing compliance and documentation: You ensure all candidate paperwork (such as work permits, ID verification, and privacy regulations) is in order and fully compliant with the law.
- Seamless collaboration: You align daily with the team’s two supervisors. While they coach the recruiters and visit operational sites, you keep the entire operation running smoothly behind the scenes.
About you
- At least 1-3 year of experience in coordinating or optimizing processes
- Fluent in Dutch and English
- Available full-time and willing to work on-site at our Utrecht office every day
- Strong analytical and data-driven mindset paired with a hands-on, results-oriented approach
- Passionate about optimizing workflows through data analysis and continuous system enhancements.
