About the role

Our Mission

At Sunrise Robotics, we are dedicated to augmenting humanity through intelligent robotics. Our mission is to elevate the world of manufacturing by introducing intelligent, flexible robots that enhance human capabilities and existing machinery, ushering in the next era of production at higher quality, with less waste, and lower cost.

Our Vision

We see a future where every element of manufacturing, from design to assembly, is optimised with intelligent automation. Our vision is to integrate flexible robotic solutions, based on generic hardware and advanced software/AI capabilities, into manufacturing, particularly in small and medium-sized enterprises, to make automation economically viable and accessible, for all sizes of manufacturers. We are not just building robots; we are creating the strategically crucial components for autonomous, intelligent agents of the future.

The Role

Sunrise Robotics is hiring an Office Manager to run our Ljubljana offices and support our people operations. Our team works across two office floors and a lab, and you make sure every part of it runs smoothly, every day. About 20% of your time goes to people operations: you are the person new hires and colleagues come to, from onboarding to everyday questions. This role suits someone with a sharp eye for detail, who notices when something is out of place and puts it right. If you care about creating a workplace where people can do their best work, you will love this role.

What You'll Do

  • Keep the offices running. You are the first contact for the landlord and handle access, keys and alarms, repairs, cleaning, and security and fire safety. You receive and route every delivery, prepare outbound shipments with the right labels, packing lists and customs documents, and coordinate deliveries to the lab.
  • Manage vendors and spend. Own relationships with cleaners, maintenance and other service providers. Research suppliers, collect quotes, order within the office budget, and keep receipts and documents in order.
  • Make it a great place to work. Kitchen and consumables, furniture and equipment, visitors and reception, relations with our neighbours, and the everyday standard of a space people are proud to work in.
  • Run events and travel. Plan and run company onsite weeks for around 50 people, team events and gifts, and travel and accommodation for the team.
  • Support our people. Spend about 20% of your time on people operations: onboarding and new-hire support, employee questions, our HR system, health and safety, and student and contractor administration.
  • Build the playbooks. Turn recurring work into simple processes, templates and automations, and set the standard for how things are done.

What You'll Need

  • At least two years in office management, facilities, executive support or operations coordination, ideally in a fast-paced, fast-growing company.
  • Fluent English, spoken and written. It is our company language and you will use it every day. Slovenian is a plus, as it helps with the landlord, vendors and local administration.
  • Attention to detail: things out of place bother you, and you fix them without being asked.
  • Ownership: you get things done. You spot problems before they arise and fix them without asking permission.
  • Composure: when three things land at once, you prioritise and handle them calmly.
  • Confidence with Google Workspace, Slack and Notion, and hands-on use of AI tools to save time on routine work.
  • Full-time availability on-site in Ljubljana.

What Makes You Stand Out

  • Processes, templates or automations you built that others still use.
  • A hospitality or customer service background: you know how to make people feel welcome.
  • Event planning at scale, such as offsites or conferences.
  • Experience with shipping documentation and customs.
  • HR administration or onboarding experience.
  • Interest in AI and robotics.

Why Us

  • Real ownership: you run a whole function from day one, with a budget and the authority to use it.
  • Close to the founders: you work directly with leadership and see how a fast-growing robotics company is built.
  • Visible impact: the office, the onsites and every new hire's first day carry your work.
