Job Description: The Finance Associate is responsible for the day-to-day administration of the firm’s team member expense reporting process and serves as a member of the Controller’s Accounting Team. This position manages daily Concur activities, provides team member training and support, serves as a backup for Accounts Payable and corporate card administration, and assists with other Finance activities including specific in-office duties under the oversight of the Manager.

This role offers remote work flexibility, with the expectation that the individual will be available to work onsite as needed to perform certain responsibilities or support business needs.

Key Responsibilities

  • Review and process team member expense reports in Concur, ensuring reports are complete, properly documented, and consistent with company policies; follow up with team members and escalate exceptions as appropriate.
  • Manage the Concur user database, including team member setup and maintenance, and serve as a primary point of contact for team member questions, troubleshooting, and system support.
  • Provide Concur training to new team members and maintain training materials, procedures, and other resources supporting the expense reporting process.
  • Take ownership of the day-to-day expense management process under the oversight of the Manager, ensuring issues are resolved or appropriately escalated and identifying opportunities to improve efficiency and internal controls.
  • Perform required in-office Finance duties, including processing batch client check deposits and preparing and mailing state tax checks.
  • Serve as a backup for Accounts Payable functions, including invoice processing, vendor payments, and other AP responsibilities as needed.
  • Assist with additional Finance activities, including quarterly shareholder distributions, year-end Form 1099 processing, and ad hoc reporting and analysis.
  • Assist with the administration of the firm’s American Express corporate card program, serving as backup for ordering and cancelling cards, maintaining cardholder accounts, and processing payment of the corporate card statement when needed.

Qualifications

  • Bachelor’s degree in accounting, finance, business or related field is required.
  • 3 – 5 years of experience in expense management, Accounts Payable, accounting operations, or a related Finance role.
  • Experience with SAP Concur Expense is strongly preferred; experience with BILL payables software is a plus.
  • Experience processing team member expense reports and Accounts Payable transactions.
  • Strong Microsoft Office skills, especially Excel.
  • Strong attention to detail, organization, communication, and problem-solving skills.
  • Ability to work independently in a remote environment while collaborating effectively with the broader team.
  • Ability to provide responsive team member support and handle confidential financial information appropriately.
  • Willingness to learn, grow, and take on additional Finance responsibilities as business needs evolve.
  • Familiarity with or hands-on experience using AI-powered productivity tools to enhance efficiency, collaboration, and work quality is strongly preferred.

Pay Transparency: Pathstone’s expected starting base compensation range for the position as of the time of this posting is $70,000 - $80,000 per year. The actual base compensation selected for this role will be set based on a variety of factors, including (but not limited to) experience, education, specialty and training. The successful candidate(s) may also be eligible for a discretionary bonus award.
