About the role

About Kandou AI

Kandou AI is a fast-growing semiconductor company developing advanced connectivity and memory fabric solutions for AI infrastructure. India is an important part of our global engineering organization, with growing teams in Hyderabad, Bangalore and Pune.

We are looking for an experienced Administration & Procurement Manager to support our expanding India operations.

The Role

Based in Hyderabad, you will manage key procurement and administrative processes for Kandou India, working closely with our Finance team in Switzerland, India Operations, employees, vendors, banks, Kandou’s external accounting and compliance provider and other external service providers.

This is a hands-on role requiring strong ownership of the procure-to-pay process, vendor coordination, payment and import documentation, and day-to-day administration. The role has a strong international dimension, with regular interaction with global teams and overseas suppliers, including management of cross-border payments and the related banking and regulatory requirements.

Key Responsibilities

  • Manage procurement activities across Kandou India, including sourcing, quotations, vendor selection, negotiations, purchase orders and delivery follow-up.
  • Manage vendor onboarding, contracts and supplier relationships, ensuring appropriate commercial terms and documentation.
  • Coordinate the procure-to-pay process, including PO and invoice matching, approvals, payment documentation and resolution of outstanding items.
  • Manage the administrative requirements related to payments to foreign vendors, working with banks and external service providers to ensure complete and timely documentation for cross-border transactions.
  • Support import and logistics administration, including bills of entry, airway bills, E-Way Bills and other customs or banking documentation.
  • Work closely with the India Operations Manager on equipment shipments, customs clearance and inter-office movements.
  • Working closely with Kandou’s external accounting and compliance provider to ensure accurate and timely ERP transactions/journal entries and supporting Kandou Finance with month-end activities, reconciliations and maintenance of complete, audit-ready documentation.
  • Support office administration, facilities and employee onboarding requirements in Hyderabad.
  • Maintain clear reporting on procurement, contracts, payments and key open items, and drive process improvements as the business grows.

What We Are Looking For

  • Bachelor's degree in Business, Finance, Commerce, Supply Chain Management or a related field.
  • 10+ years of relevant experience in procurement, administration, finance operations or supply chain.
  • Experience working in an international or multinational environment, with regular interaction across countries, cultures and time zones.
  • Good understanding of end-to-end procurement and procure-to-pay processes.
  • Experience with vendor sourcing, commercial negotiation, purchase orders and contract administration.
  • Practical experience managing payments to overseas vendors, including banking documentation, foreign remittances, regulatory requirements and resolution of payment-related exceptions.
  • Comfortable working with and holding accountable an outsourced accounting/compliance provider – reviewing their output, resolving issues, chasing turnaround times, and escalating issues rather than waiting passively for resolution.
  • Working knowledge of India payment, GST, E-Way Bill and import/export documentation requirements.
  • Experience working with ERP systems; Microsoft Dynamics 365 Business Central is an advantage.
  • Strong Excel, organizational and analytical skills.
  • Strong communication skills and professional fluency in English.
  • Proactive, hands-on approach with the ability to manage multiple priorities and follow issues through to resolution.

Preferred

  • Experience in semiconductor, electronics, engineering or technology companies.
  • Experience with imported technical or laboratory equipment.
  • Familiarity with STPI requirements.
  • Hindi or Telugu language skills.
