Position Summary

The Admin Services Coordinator provides administrative, coordination, and day-to-day support to BPM’s Tax Directors and Managing Directors and serves as their consistent point of contact, while partner administrative support remains in the U.S. Working under the direction of the Tax Administration Supervisor, this role also supports the engagement lifecycle through responsive communication, accurate task execution, secure document handling, and consistent follow-through. The Associate collaborates with the broader Tax Administration team, using cross-training and backup coverage to maintain consistent support.

Director & Managing Director Support

  • Serve as a consistent point of contact for an assigned group of Directors and Managing Directors.
  • Coordinate calendars, scheduling requests, and meetings, including meeting preparation and logistics.
  • Track follow-ups on open requests, action items, and deadlines.
  • Prepare and send routine correspondence on behalf of assigned Directors and Managing Directors.
  • Provide Salesforce and general administrative support.
  • Anticipate needs and manage competing priorities across multiple Directors and Managing Directors, escalating to the Supervisor when needed.
  • Back up teammates and share knowledge through cross-training, so coverage stays consistent while each Director and Managing Director keeps a familiar contact.

Engagement & Workflow Support

  • Support client onboarding and administration.
  • Monitor workflow dashboards, track engagement progress, and follow up on outstanding items and deliverables.
  • Provide timely status updates to engagement teams and raise concerns or delays to the Supervisor.
  • As secondary support, assist with tax processing and other defined Tax Administration services as assigned.

Technology & Workflow Support

  • Use platforms such as CCH Axcess, SafeSend, DocuSign, Salesforce, the BPM Client Portal, Microsoft Office, and other approved systems.
  • Assist with routine platform processes, document routing, and workflow coordination.
  • Retrieve files from third-party systems and help resolve routine access-related issues.
  • Escalate technical, security, or process concerns through the established support channels.

Document & Coordination Support

  • Collect, organize, upload, retrieve, and securely maintain client engagement documentation.
  • Prepare, format, assemble, and route documents and administrative materials.
  • Assist with meeting materials, event coordination, and logistics, using the U.S. team for on-the-ground support when needed.
  • Maintain organized records and clear tracking of assigned work.

Service, Improvement & Compliance

  • Deliver timely, accurate, and professional support while taking ownership of assigned tasks.
  • Participate in onboarding, training, cross-training, and knowledge-sharing activities.
  • Identify opportunities to simplify work, improve consistency, and reduce manual effort.
  • Follow BPM policies, standard operating procedures, confidentiality requirements, and information security standards.
  • Handle client and firm information with care and discretion.

Qualifications

  • Strong organizational, administrative, and follow-through skills.
  • Excellent written and verbal English communication skills.
  • Ability to manage multiple priorities, deadlines, and detailed tasks.
  • Strong attention to accuracy and a proactive service mindset, with the ability to anticipate needs and manage competing priorities.
  • Comfort learning and using business applications, workflow systems, and Microsoft Office.
  • Experience in professional services, accounting, tax, legal, or consulting is preferred.

Preferred Characteristics

  • Dependable, organized, and comfortable working in a team environment.
  • Proactive in anticipating needs, sharing updates, asking questions, and escalating concerns appropriately.
  • Adaptable and willing to learn new processes, tools, and service areas.
  • Committed to ownership, consistency, confidentiality, and high-quality service.
